Role Overview

Formula Fitness is seeking a Virtual Assistant Marketing & Automation Specialist to join our premier boutique personal training gym as we approach $1M in annual revenue. This is a unique hybrid role combining technical automation expertise with marketing execution, designed for a professional who thrives in building scalable solutions rather than simply following checklists.

As a key player in our operations, you'll maintain the technical infrastructure that enables our business to scale efficiently while executing marketing campaigns that drive growth. This position offers real ownership over strategy and systems, with your input directly shaping how the business operates.

We're looking for a long-term partner who can take high-level goals and execute them with minimal supervision, contributing to both our technical backbone and marketing success in a data-driven environment.

Responsibilities

Build and maintain complex workflows, triggers, and automations within GoHighLevel
Manage platform integrations (MindBody, GoHighLevel, WordPress, Google Sheets) using Zapier, Make, or APIs
Perform regular WordPress website updates, including landing page creation and plugin management
Utilize AI tools (ChatGPT, Claude, Gemini) to develop chatbots and automate internal documentation
Build data dashboards and generate weekly reports for data-driven decision-making
Create and maintain detailed Standard Operating Procedures (SOPs) for newly implemented systems
Execute and monitor email and SMS marketing campaigns within GoHighLevel
Manage social media scheduling, posting, and community engagement
Design marketing collateral using Canva and write compelling copy for promotions
Monitor lead flow within CRM to ensure timely follow-ups and pipeline health
Support local SEO efforts including Google Business Profile management and review generation

Requirements

Proven experience with GoHighLevel (CRM/Automations) - mandatory
Proven experience with Zapier/Make - mandatory
Advanced experience using ChatGPT, Claude, and Gemini for content and automation logic
Ability to interpret data and translate it into actionable marketing or operational insights
Self-starter who can execute high-level goals with minimal supervision
Proactive communicator with full professional proficiency in English
Must have significant overlap with Pacific Time (PT) for real-time collaboration
Available for full-time work (40 hours per week)

Familiarity with MindBody platform
Experience with WordPress management
Knowledge of Monday.com
Experience with Canva for design work
Background in fitness or wellness industry
